Sheet Capacity and Duty Cycle: The Two Numbers That Decide Everything
Every complaint we hear about a shredder comes down to one of two figures being wrong for the job. Neither is the security rating.
Sheet capacity is a maximum, not a target
The rated capacity is the number of sheets the machine will take in one pass under ideal conditions: fresh blades, standard 80 gsm paper, sheets fed square.
Real conditions are not ideal. Paper that has been stapled sits unevenly. Older machines have duller blades. Heavier paper counts for more than one sheet. As a working rule, feed about 70% of the rated capacity and the machine will rarely jam.
This means the honest way to read a rating is to divide it. A 10-sheet machine is a 7-sheet machine in practice. If your normal handful is a dozen pages, buy a 16-sheet machine.
Why over-feeding is expensive
A jam is not just an interruption. Clearing one usually means reversing the motor, and repeated jams wear the gearbox. The most common cause of a shredder dying young is a user who consistently feeds it 20 sheets because it managed 20 sheets once.
Duty cycle is how long you can actually work
Duty cycle is expressed as run time followed by cool-down: “5 min on / 30 min off” is typical for a home machine.
That ratio matters enormously depending on the task.
- Daily post and a few documents: 2–5 minutes of running. Any duty cycle works.
- Weekly clear-out of a tray: 10–15 minutes. You want at least 10 minutes continuous, or you will spend the session waiting.
- Archive clearance, a filing cabinet at a time: 30 minutes or continuous. Home machines cannot do this. You need a commercial-rated machine with a thermally protected motor rated for continuous duty.
A machine that overheats does not fail loudly. It simply stops and refuses to restart for half an hour, usually with a full bin and a pile of paper still to go.
Bin size, the number nobody checks
Bin capacity is quoted in litres or gallons and it is easy to ignore. It should not be, for two reasons.
First, cut size affects volume. Micro-cut particles pack tighter than cross-cut, so a P-5 machine fills a bin faster in terms of sheets shredded even though the particles are smaller.
Second, a full bin causes jams. As the bin fills, cuttings back up into the cutting head. Many machines have a bin-full sensor; on those that do not, the first sign is a jam that looks like a blade problem and is not.
As a rough guide: a 20-litre bin is a home machine emptied weekly. A 30-litre bin suits a small office. Anything above 60 litres is a shared-department machine and will need a liner and a plan for who empties it.
Matching the machine to the pattern of use
Home, occasional
8–12 sheet capacity, P-4, 5-minute duty cycle, 20-litre bin. Inexpensive and entirely adequate.
Home office or small business, daily
12–18 sheets, P-4, 10–20 minute duty cycle, 30-litre bin. This is the range where a machine stops being irritating.
Shared office
Auto-feed. The capacity that matters becomes the hopper size, not the manual slot — see below.
Auto-feed changes the arithmetic
An auto-feed machine has a hopper you load with a stack — 60, 100, 200 sheets — and close. It then feeds itself while you do something else.
The important consequence: duty cycle becomes the binding constraint rather than your patience. A 100-sheet auto-feed machine with a 5-minute duty cycle will stop partway through its own hopper. Auto-feed machines worth buying pair a large hopper with a long or continuous duty cycle.
Auto-feed also generally cannot take stapled or folded documents, so there is still manual sorting to do. Most have a manual slot alongside for exactly that.
